About the Virtual Assistant position

We are looking for a Virtual Assistant who will be responsible for providing critical support to our team while working remotely. You will help to remove the pressure and ensure smooth running of our growing business and deliver high-quality work under minimum supervision.

You are required to have experience of fulfilling various administrative tasks, including answering emails, scheduling meetings and making travel arrangements but this is not just an admin role! We need someone who is business savvy and can get involved and help to oil the cogs across sales, marketing, project support and finance. Working from home, a strong internet connection is required, along with experience using communication tools like Teams and other Microsoft 365 products.

We can be entirely flexible around hours, family commitments and location and as such this may also suit someone returning to work after time away. We are an equal opportunities employer.

Virtual Assistant responsibilities include:

  • Organise communication via emails and phone calls
  • Provide customer service as first point of contact
  • Organize meetings and facilities
  • Provide back office support to Manage our project supportcontact lists and organize managers’ calendars
  • Create and review customer information and maintain online records
  • Conduct market and sales research and report on the results
  • Help employees with their administrative queries
  • Assist in the preparation of client presentations
  • Ensure project data is maintained and ready for client invoicing and management reporting

Virtual Assistant requirements are:

  • 2+ years' experience of working in a Virtual Assistant or other relevant position

  • Significant experience with current technologies, like desktop sharing, cloud services and VoIP

  • Good practical experience with office and collaboration software, particularly MS 365

  • Good practical experience with online calendars and scheduling, particularly Microsoft 365 Teams/Outlook

  • Strong phone, email and instant messaging communication skills

  • Strong organizational and time management skills
